What you'll accomplish
Decision letters and engagement scope sections tend to get rewritten from scratch, and the voice drifts from one letter to the next. A Claude Project holds your firm's letter templates and a one-page style sheet, so each draft arrives in your house voice and says only what your decision note says. You decide what the letter contains. Claude shapes the wording, and you read every sentence before anything goes to a client.
What you'll need
Data caution. Client names, A-numbers, receipt numbers, passport numbers, dates of birth, addresses, immigration and criminal history, medical and psychological evaluations, asylum and persecution accounts, and employer data stay in your firm's approved systems. This setup works on templates, a style sheet, invented clients and matter codes such as "Client A" and "IM-26-031". Asylum, trafficking, abuse and criminal history details never go into a consumer AI tool. Before any real decision note goes into a chat, confirm that your firm approved this tool for client data under your confidentiality duties and your state bar's rules on AI use, which you check yourself. Then open Claude's privacy settings and look at whether chats are used for training and how long they are kept.
Claude reads project knowledge as background for every chat in the project. Short, clean files work best.
engagement-template.docx. Remove every client detail. Leave the firm's own wording and any bracketed placeholders.decision-letter-template.docx in the same way.style-sheet.txt. Cover the reading level you want, your tone, how you open a letter, your closing lines and words you never use. What you should see: Four or five files in one folder on your computer, none with a real client detail. Troubleshooting: A scanned PDF may give Claude little or no text. Use a text-based export.
What you should see: An empty project page with an area for instructions and an area for files or knowledge. Troubleshooting: Anthropic says a new version of projects is rolling out in stages. If your screen differs from this description, look for the same two things: an instructions area and a place to add files.
What you should see: Each file name listed under the project's knowledge.
Instructions apply to every chat in the project. Paste this text exactly, then adjust the wording to match your firm.
You draft client letters and engagement scope sections for an immigration law practice. Follow the templates and the style sheet in the project files.
Use only the decision note pasted into the current chat. Do not add any law, fee, timeline, prediction, option, deadline or advice that the note does not name.
Never say what the agency, a court or a judge requires, allows or usually does. Never predict an outcome.
If the note leaves out something the template needs, write "attorney to supply" in brackets. Do not fill the gap.
For any fee, write "[flat fee from your fee schedule]". Never write an amount.
Do not add facts about the client. Use "Client A" and the matter code exactly as given.
Write at the reading level the style sheet names.
After the draft, add a heading "Sentences to check" and list each sentence that restates a point from my note, so I can compare line by line.
Start every output with the label "Draft for attorney review".
What you should see: The instructions saved on the project page. Troubleshooting: If a later draft ignores a rule, paste the rule again in your message and check whether the instructions saved.
Use each inside the project, with your decision note pasted in the chat.
